The creation of new groups on Futurium must be requested and facilitated by the Futurium team.
Before doing so, the following prerequisites must be met:
Prerequisites
Below you can find the requirements that must be met before starting the request for the creation of new groups in Futurium.
- Endorsement by a European Commission Unit or official entity: A group request must be endorsed by a Unit or another official European Commission entity.
- Sign Internal Arrangements document: The responsible Unit or entity must adhere to our Internal Arrangements document, which outlines the responsibilities of the Futurium team (acting as Data Processor) and the responsible instance (acting as Data Controller).
- Standardised Group Features: All groups on Futurium have standard functionalities. Tailored technical solutions are not provided for individual group requests.
Process for the request of a new group
Once the above conditions are fulfilled, you can proceed with the group creation request:
-
Contact the Futurium team
Contact the Futurium team to show your interest on the tool via the contact form.
-
Initiation meeting
Following receipt of your request, an initiation meeting will be organised with the Futurium team to discuss your objectives, requirements and expectations for the group. After this meeting, you will be invited to complete a questionnaire specifying how the group should be configured.
-
Reassessment of the request
After the initiation meeting, you may decide to withdraw the group creation request. The purpose of this meeting is to assess whether Futurium’s functionalities are suitable for your needs. As the platform may not meet all requirements in every case, this step allows both parties to confirm whether the group creation process should proceed.
-
Questionnaire submission and group setup
Once the completed questionnaire has been received, the Futurium team will proceed with the creation of your group. Where necessary, follow-up exchanges or meetings may be organised to clarify specific elements before configuration is finalised.
-
Mandatory training for Community Managers
Before the group can be launched, all Community Managers are required to complete the Futurium manager training. This training ensures is mandatory and is intended to ensure that Community Managers are fully prepared to administer, manage and moderate the group in accordance with the platform rules and procedures.
-
Final review and launch
Once the mandatory training has been completed, a final review meeting will be held to ensure that the group settings and arrangements correspond to the agreed requirements. Subject to this final validation, the group will then be launched.
Estimated duration
The entire group creation process, from the initiation meeting to the final launch, typically takes around two weeks.
This timeframe assumes that all prerequisites, such as endorsement, submission of the questionnaire, and completion of manager training, are fulfilled without delay.
